The three-hour morning check that now arrives at 8:00
Daily control reports for Compliance, Management and the Data Protection Officer were assembled by hand. I rebuilt them as automated reports that land before the working day starts, saving at least two hours per report, every day.
Illustrative flow
- InputDaily system activity log
- RulesReviewer's logic, rebuilt step by step
- OutputFlags, charts and a review file
- DeliveredPDF in the inbox by 8:00 a.m.
The challenge
Each morning, reviewers pulled exports from the core system into spreadsheet models, pasted data in several places and cleaned out personal data before anyone could start reviewing. A single report took around three hours to prepare and analyse.
My contribution
I analysed the existing manual models, documented every rule the reviewers applied, and designed and built the automated replacements, including the report layouts and the review files reviewers fill in.
The approach
I treated the manual model as the specification. The automated version was run side by side with it until the results matched, then reshaped into a short report: a visual summary first, the detail underneath, and only the items that need a decision.
The outcome
Reports now arrive at 8:00 a.m. and save at least two hours per report per day. One of them screens 2,000 to 4,000 system events a day. While building it I found that standard reporting missed back-valued postings (21 on one test day), and designed a new daily report to capture them.
